Institute Coordinator

The Institute Coordinator will provide administrative support across the Annenberg Institute, supporting the Institute’s programming and operations. This position provides day-to-day administrative, logistical, and project support, in alignment with Brown policies, for a growing organization; and is an integral part of our Operations Team. This support includes: internal and external programmatic coordination, including the arrangement of workshops, seminars, and meetings; facilities management, including maintenance requests, keys, ordering office supplies, maintaining staff and room calendars, room booking management; and providing an “on-the-ground” presence for faculty, staff, and guests, while serving as an essential liaison between leadership and logistical support providers. The Institute Coordinator will also arrange travel and process reimbursements for staff, post docs and visiting faculty/scholars, and will work with staff/postdocs on reimbursements in Workday. The Institute Coordinator will support the Chief of Staff in managing subawards, contracts, PSAs, and pcard submission and review, ensuring compliance with university guidelines. The Coordinator will support the Assistant Director, Operations with HR processes for Annenberg Institute personnel, including onboarding, and IT coordination, as well as with research administration support. The Institute Coordinator is the face of all administrative support operations for the Annenberg Institute and also offers reception services for the Institute.

Job Qualifications and Competencies:

  • Bachelor's degree and 1-2 years’ experience, or Associate degree and 3 years’ experience

  • Experience in academic setting is preferred
